PROJECT ASSISTANT – DISASTER RISK REDUCTION BASED REHABILITATION & RECONSTRUCTION (DRR RR) PROJECT (NATIONAL)

Summary of Key Functions:

  • Support to the implementation of project
  • Administrative and financial support to the PMU
  • Support to the facilitation collaboration with project partners

1.  Support the implementation of project focusing on achievement of the following results:

  • Provide assistance on preparation, collection, analysis and presentation of project work plans, and budgets proposal for implementation arrangements.
  • Conducting project implementation for the above tasks in line with CPRU monitoring requirement

2.    Provides effective support to the NPM to support DRR-RR project implementation focusing on the achievement of the following results:

  • Undertaking monitoring, evaluation and reporting on activities supported by the project, including activities undertaken by implementing partners;
  • Preparing regular updates on government’s activities and policies related to project components in order to facilitate awareness of Government’s needs and priorities;
  • Provision of a project budget details including monitoring, operational and financial closure of project;
  • Provide feedback and suggestions to National Project Manager on project related issues;

3.    Provides effective support to the PMU focusing on achievement of the following results:

  • Provides administrative and secretarial support by assisting the team in developing project implementation plans including budget plans and procurement and recruitment plans in line with the project annual work-plan;
  • Assist the PMU in coordination and conducting project events (workshops, seminars, training and conferences): arrange logistics for the events, appointments and meetings; prepares correspondence to support project coordination with other parties
  • Maintenance of the internal expenditures control system that ensures that all processes are inline with project accountability.
  • Provide support related to data/information management (files, letters, reporting documents, etc.).
  • Facilitate data/information management including maintenance of filing system both electronic and physical (of relevant documents of DRR-RR Project).
  • Provides support for document collection and file maintenance; maintain a systematic filing system of key documents (in hard copy and soft copy) in line with audit requirements. Maintains an up-to-date list of contact addresses and other record systems as necessary.
  • Assist the PMU to prepare TORs, LOAs and other documents to facilitate the project implementation

5. Ensures facilitation collaboration with project partners focusing on achievement of the following results:

  • Facilitate the collaboration with partners and other actors on identifying priority activities for the project;
  • Facilitate the coordination and collaboration between UNDP and BNPB as well as other relevant government agencies on activities related to the project;
  • Help maintain productive working relationships with Governments, Non-Governmental institutions and other project partners;
  • Help promote the overall project strategy, objectives and activities to the stakeholders of DRR-RR Project;

6. Any other relevant duties as assigned by supervisor

III. Impact of Results

Successful implementation of project activities and timely delivery of project administrative and financial support and backstopping.  Proper facilitation in maintaining collaboration with project partners. Accurate and timely analysis, data collection and presentation of information to ensure proper project implementation

Recruitment Qualifications

Education:

  • Minimum university degree in Management, Public Administration, Sociology or other relevant field;

Experience:

  • At least 5 (five) years professional experience in project finance and administration. Previous experience in development assistance or related work for donor organization, governmental institutions, CSO/NGO is a very strong advantage

Language Requirements:

  • Excellent written and verbal communication skills in English and Indonesian
