ADMINISTRATIVE OFFICER — JAKARTA BASED

The Australia Indonesia Partnership for Decentralization (AIPD) is a five-year program providing technical assistance and capacity building support to local governments and civil society to better manage public resources, leading to improved service delivery and reduced poverty. The program is seeking qualified person to fill a vacant position.

Purpose of the position:

To provide administrative and secretariat support to ensure the successful implementation of AIPD and other Government of Australia supported activities for the Program.

Main Duties and Responsibilities:

  1. Provide high level administrative and secretariat support to the Program.
  2. Drafting simple Terms of Reference for meetings, small value contracts, workshops, etc.
  3. Review contract compliance and adherence to contracts.
  4. Compile and classify data / information as requested.
  5. Perform general clerical tasks as required.
  6. Maintain filing systems
  7. Ensure that all program procurements are in line with the guidelines and supported with necessary documents (Purchase Order, Quotations, Procurement Forms)
  8. Arrange meetings/appointments, workshops, trainings, etc. including making appointments, hotel reservation and flight bookings.
  9. Develop and maintain good relationships with all partners.
  10. Other duties consistent with the above.

Qualifications/Criteria:

  1. Tertiary qualifications or minimum five years’ experience in a relevant field
  2. Proactive, initiative and independent person with excellent communication skills
  3. Experience working in donor supported projects and liaise with Government of Indonesia
  4. Reasonable knowledge of donors’ system and Government of Indonesia’s system and issue in decentralization.
  5. Demonstrated ability to deliver high quality outputs on time
  6. Fluency in Indonesian and English
  7. Self-motivated and able to work without close supervision
